Sigil
Centrally managed email signatures for Microsoft 365, personalised from your directory and applied as people write.
Sigil replaces the usual mess of locally configured signatures with one template set, managed centrally and applied automatically inside Outlook. An admin grants consent and deploys the add-in through Microsoft 365 Integrated apps. Nothing touches individual machines, and no user is asked to do anything.
The important difference from the incumbents is where the work happens. Sigil signs client-side, as a message is composed, so mail is never rerouted through a third-party server and the cutover is invisible and reversible. You can pilot it with one group through assignment rules before rolling it out. It runs on Outlook for Windows, Mac, web, iOS and Android.
It also answers the question client-side signature tools usually cannot: is this reaching people? Every render and apply is logged, so you get adoption figures per mailbox and a list of the ones still missing a signature.
Access is read-only. Sigil never asks for permission to send mail or write to your tenant, tenants are strictly isolated, and link tracking counts clicks without storing IP addresses, recipient identities or message content.
Pricing is £0.70 per licensed mailbox per month with every feature included, billed monthly. Shared and resource mailboxes are free. There is a 14-day trial and it does not ask for card details.
What it does.
Personalised from your directory
Name, title, phone, address, department, manager and up to 15 custom attributes, read from Microsoft Graph and merged per mailbox.
Two ways to build a template
A drag-and-drop designer for marketers, or a full HTML editor with placeholder autocomplete. Both compile to Outlook-safe table HTML.
Rules that assign themselves
Ordered rules pick the template per person by department, office, email domain or Entra group. First match wins, everyone else gets the default.
Campaign banners
Time-boxed clickable banners above or below the signature, on your own time zone and DST-correct, with click-through tracking.
Compliance footers
A mandatory legal block appended at render time, per email domain, so no template can forget the disclaimer Legal signed off on.
Proof it actually landed
Per-mailbox activity, a never-applied list, an attribute coverage audit, and an append-only log of every admin action.
